Your registration and hotel reservation are binding, subject
to the cancellation policy below.
You will receive a contractually binding confirmation of
your registration and hotel bookings by e-mail within two
(2) working days. All prices are inclusive of VAT at current
rates.
Participation fees will be debited on your credit card with
immediate effect. Payment of hotel rooms to be made directly
with the hotel on arrival. Valid credit card details are
required to secure the hotel booking.
Official Summit documents will be provided on site at the
“Welcome Desk” of the Congress Center Leipzig or at the
“Welcome Desks” in the official Summit hotels.
Members of Official Delegations opting for payment by bank transfer will be sent invoices which must
be settled within 15 days of the issue date.
Registration Cancellations and Changes
Changes or cancellations can only be accepted if
submitted in writing to: info@itf-leipzig.org

Registrations may be cancelled up until 11 April 2012 but this will incur a cancellation
charge of €50.00. Credit notes in respect of participation
fees or orders will be issued directly. Cancellations after
that date will incur a charge of 90% of the total invoiced
sum. Registration is transferable, and changes of the named
delegate(s) can be made free of charge at any time.

Photography and Recording
By participating in the International Transport Forum’s
Annual Summit, you acknowledge that your participation and
interventions may be recorded (video and audio) and/or
photographs taken and hereby waive any right to oppose, and
expressly authorise the International Transport Forum and
authorised conference organisers to record your conference
activities and make them available for public viewing
(including use of the Internet, press, publications) or as
it may see fit.
Data Storage and Use
The storage and processing of personal data will be
undertaken by the International Transport Forum (part of the
Organisation for Economic Cooperation and Development
(OECD)) and authorised contractors. Data protection, storage
and use by authorised contractors are required to respect
the European Union Data Protection Directive 95/46/EC and
any instructions provided by the OECD.
Personal data may be used for International Transport Forum
event invitations, registration, related events
preparations, distribution of information pertaining to the
International Transport Forum, or as the OECD sees fit.
The individual authorises the collection, use and processing
of personal data upon submitting their information as part
of any International Transport Forum-related event
registration process. Individuals may request access to data,
rectify data, or withdraw their consent for use of personal
data upon written application to the International Transport
Forum at

Liabilities
The place of fulfilment and court of jurisdiction in respect
of obligations of either party is Leipzig. The laws of the
Federal Republic of Germany shall apply.
The International Transport Forum does not accept liability
at any time for travel, accommodation, injury or illness, or
personal conduct of individual delegates. It is recommended
that each delegate arrange suitable travel and health
insurance that will cover the duration of their attendance
at the Annual Summit.
